What are user fields?
User fields are editable fields that can be set for each user so that they can be used to filter data on insights for instance. Examples of use are for Territories and Departments or maybe Employee Numbers.
If you want to be able to report by different fields we recommend user fields are used.
Who can create user fields?
Admins can add user fields by navigating to 'people' in the sidebar and then 'User Fields'
Who can set user fields for the user?
When creating a user field the Admin will select if only the Admin can set them or if the User can also.
What types of user fields can I set up?
There are 3 types to select from:
- Free text - Use this for employee numbers, for example, note you can not filter by this on insights. Free text will only show when downloading reports in CSV.
- Select List - Use this for departments, locations etc for example. This is the most powerful user field and can be used to filter insights and reports.
- For a select list, you will need to add options. You can either do this one by one or in bulk by copying and pasting a list.
- Check box - Use this if the employee is remote for example. This is a simple Boolean item where it will either be checked if true or un-checked if false. Like free text, it will only show when downloading reports in CSV
How do I set user fields for each user?
There are a few ways to do this:
- Manually - When adding a new user manually via the User management you will be presented with the user fields you have set up to complete.
- Via Bulk upload - When you bulk upload you can include the user fields as columns and match them during that process. See the bulk upload guide
- The users complete when self-registering - You will need to ensure that the Editability on the user field is set to 'Editable by user', and when the user follows the self-registration link they will be presented with the user fields to complete.
- Direct them to their account with the welcome email if using SSO - If you are letting users self-register when they first log in with SSO we recommend sending them to their account first using this URL https://platform.coachingculture.com/account-settings, in the email be sure to tell them to update their user fields.
What are good examples of them in use?
- The select list is the most powerful. Use this to help delve deeper into insights and give permission to see and share content.
- If you have Divisions and then Departments. Use the Select list field type to capture this and provide structure to insights
